
Why Your Printer Says It's Out of Paper When the Tray Is Full
False out-of-paper errors usually mean a sensor problem, not an empty tray. Here's where to look and what to fix.
Your printer has a paper sensor that detects whether the tray is loaded. When it says the tray is empty and it clearly isn't, one of four things is wrong: the sensor is dirty or blocked, the paper guides are misaligned, the tray isn't fully seated, or the printer thinks the paper size doesn't match the tray. Here's how to find and fix each one.
Where the paper sensor lives
Most inkjets and small office lasers have a paper-presence sensor in the bottom of the tray itself—a small plastic lever or optical sensor that the paper stack presses up against when the tray is full. Some printers also have a sensor at the tray opening that detects paper as it feeds. The exact location depends on your model, but you can find it by removing the tray and looking for a small plastic arm or a dark plastic window.
The most common fix: clean the sensor
Debris is the culprit about 60% of the time. Paper dust, bits of torn paper, or even a stray piece of tape can block the sensor and make the printer think the tray is empty.
What to do: Remove the paper tray completely. Look at the bottom of the tray and inside the printer where the tray sits. You'll see a small plastic lever or a dark optical sensor. Use a dry cotton swab or soft brush to gently clean around it. Do not use liquid—water can damage the sensor. If you see a small plastic arm, make sure it moves freely up and down. Reinsert the tray and test.
Check the paper guides
The metal or plastic guides on the sides of the tray keep the paper stack centered. If they're too tight or too loose, the paper won't sit at the right height, and the sensor won't register it.
What to do: Remove the tray. Look at the left and right guides—they should slide smoothly. Loosen them slightly and reposition them so they touch the edges of your paper stack without pinching it. The guides should be snug enough to keep the paper from shifting, but loose enough that you can slide a single sheet in and out without resistance. Reinsert the tray and try again.
Make sure the tray is fully seated
This one is embarrassing when it's the problem, but it happens constantly. If the tray isn't clicked all the way in, the sensor won't make contact with the paper.
What to do: Remove the tray completely. Look for small tabs or notches on the sides or back of the tray that align with slots in the printer. Push the tray in firmly until you hear or feel a click. It should be flush with the printer body. If it's loose or sits proud of the frame, it's not seated.
Paper size and weight mismatch
Some printers have settings that tell them what size and weight of paper is in each tray. If the setting doesn't match what's actually there, the printer may refuse to use that tray.
What to do: Go to your printer's settings menu. On most printers, this is Settings > Paper > Paper Size or Settings > Tray Configuration. (The exact path varies—check your manual or the printer's touchscreen menu.) Make sure the paper size matches what you've loaded. If you're using standard 8.5 x 11 inch paper, it should say "Letter." If you're using heavier cardstock or specialty paper, check that the weight setting matches the paper you're using. Some printers have a separate Paper Type or Media Type setting—make sure that's set to "Plain Paper" or whatever matches your actual paper.
When it's the sensor itself
If you've cleaned the sensor, aligned the guides, seated the tray, and checked the settings, and the error persists, the sensor may be faulty. This is less common but does happen, especially in older printers.
What to do: Try loading paper into a different tray if your printer has one. If that tray works, the problem is specific to the first tray's sensor. If all trays fail, the issue may be in the printer's logic board or sensor circuit. At this point, you're looking at a repair call or replacement, depending on the printer's age and cost.
Prevention
Keep the tray clean and free of paper scraps. Don't overfill it—most trays have a maximum line marked on the inside. Store paper in a dry place so it doesn't absorb moisture and swell, which can misalign the guides. If you switch between paper sizes or weights frequently, double-check the tray settings each time.
A false out-of-paper error is frustrating but almost always fixable in five minutes. Start with the sensor, then the guides, then the tray seating. Nine times out of ten, one of those three is the answer.
