Your Printer Driver Won't Install: How to Fix It on Windows and Mac

The OS often has a working driver already — and that's usually what's blocking the manufacturer's installer

When a printer driver won't install on Windows or macOS, the most common cause is that the operating system already loaded a built-in driver automatically — and that conflicts with the manufacturer's installer. The second most common cause is a half-removed previous installation leaving registry entries or system files that block the new one. Both Windows and macOS ship with hundreds of generic and brand-specific drivers, and they often work perfectly well without any download from HP, Brother, Canon, or Epson.

Before you troubleshoot, ask whether you actually need the manufacturer's driver. If the printer already appears in your device list and prints a test page, the built-in driver is working. The vendor's "full software suite" adds scanning interfaces, ink-level monitors, firmware updaters, and sometimes ads or account-registration nags. For plain printing, the OS driver is usually enough.

Why the manufacturer's installer fails

A built-in driver loaded first. When you plug in a USB printer or connect to one on the network, Windows and macOS query the device and match it to an inbox driver. That driver claims the printer. When you run the manufacturer's installer later, it sees the printer already in use and either errors out or installs its software without replacing the driver.

A previous install left fragments. Uninstallers often leave behind driver files, registry keys, or print queues. The new installer detects the remnants and refuses to proceed, or it proceeds and fails because it cannot overwrite locked files.

IP address vs. discovery. On a network printer, Windows and macOS can add the printer by broadcast discovery (which usually picks the right driver) or by manually entering the IP address (which may default to a generic PostScript or PCL driver). If you added it by IP first, the manufacturer installer may not recognize it as the same device.

The print spooler is stuck. On Windows, the Print Spooler service queues jobs and loads drivers. If it is stopped, hung, or holding a failed job, driver installations fail silently or with vague errors.

The installer is bloated and fragile. Manufacturer installers often bundle toolbars, cloud accounts, and third-party components. These packages are large, slow, and prone to failure if any dependency is missing or if your OS version is slightly newer than the installer expects. The basic driver buried inside the package usually works fine on its own.

How to fix it on Windows

Step 1: Restart the Print Spooler

Open the Start menu, type services.msc, and press Enter. Scroll to Print Spooler, right-click it, and choose Restart. If it says "Starting" and hangs, choose Stop, wait ten seconds, then Start. This clears stuck jobs and resets driver locks.

Step 2: Remove the existing printer and driver

Go to Settings > Devices > Printers & scanners (Windows 10) or Settings > Bluetooth & devices > Printers & scanners (Windows 11). Click the printer, choose Remove device, and confirm.

Next, open Print server properties: in the same Settings window, click Print server properties (it is a small link near the top). Go to the Drivers tab, select any driver for your printer model, click Remove, and choose Remove driver and driver package. You may need to restart the spooler again if the removal fails.

Step 3: Try the built-in driver first

Click Add a printer or scanner. Windows will search the network and USB. If it finds your printer, add it and print a test page. If it works, you are done. The inbox driver is sufficient for most printing.

Step 4: Install the manufacturer driver manually

If you need the vendor's scanning software or other tools, download the full driver package from the manufacturer's support site — do not use the CD, which is always outdated. Run the installer as administrator (right-click the .exe and choose Run as administrator).

If the installer still fails, extract the driver files. Most .exe installers are self-extracting archives. Run the installer, and when it begins extracting files (often to C:\Users\YourName\AppData\Local\Temp), pause and copy the folder before the installer cleans it up. Look for a .inf file inside. Then go back to Printers & scanners > Add a printer > The printer that I want isn't listed > Add a local printer or network printer with manual settings. Choose the correct port (USB00x for USB, or the IP address for network), click Have Disk, browse to the .inf file, and install the driver directly. This bypasses the bloated installer.

How to fix it on macOS

Step 1: Remove the printer

Open System Settings > Printers & Scanners (macOS Ventura and later) or System Preferences > Printers & Scanners (earlier versions). Select the printer in the left column, click the button below the list, and remove it.

Step 2: Delete the driver if necessary

If you previously installed a manufacturer driver package, you may need to remove it. Open Finder, press Shift-Command-G, and go to /Library/Printers/. Look for a folder with the manufacturer's name (HP, Brother, Canon, Epson). Move it to the Trash. You may need to authenticate. Restart the Mac.

Step 3: Add the printer using AirPrint or the built-in driver

Go back to Printers & Scanners and click the + button. macOS will discover network printers and show USB printers automatically. Select your printer from the list. If it says AirPrint or shows a generic driver name, that is the built-in driver. Add it and print a test page. Most printers made in the last ten years work perfectly this way.

Step 4: Install the manufacturer driver only if needed

If you need the vendor's scanning software or advanced settings, download the macOS driver package from the manufacturer's site. Install it, then remove and re-add the printer so macOS picks up the new driver. If the installer fails, it is often because macOS blocked the system extension. Go to System Settings > Privacy & Security and look for a message about blocked software near the bottom. Click Allow and run the installer again.

When to skip the manufacturer software entirely

If the printer works with the built-in driver, you do not need the manufacturer's package. The inbox drivers support standard features — duplex, paper size, color vs. black-and-white, quality settings. You lose custom presets, ink-level monitoring, and the vendor's scan utility, but you gain stability and faster driver updates through the OS.

For network printers, AirPrint (on macOS and iOS) and Mopria (on Android and some Windows installs) are vendor-neutral standards. If your printer supports them, you never need a driver download.

For scanning, macOS Image Capture and Windows Scan often work with the built-in driver. Third-party tools like VueScan support thousands of models without manufacturer software.

The manufacturer's full suite makes sense if you need proprietary features — borderless photo printing with specific paper profiles, fax from the PC, or firmware updates for a business multifunction printer. For a basic office laser or home inkjet, the built-in driver is usually the better choice.

If nothing works

If the driver still will not install after these steps, the issue is usually hardware or network. Check that the printer is powered on, connected by a working USB cable (try a different cable and port), or reachable on the network (ping the IP address from a command prompt or terminal). Restart the printer and the computer. If the printer is old and the OS is new, the manufacturer may not provide a compatible driver — in that case, the built-in generic PostScript or PCL driver may be your only option, and it will handle basic printing but not advanced features.

Driver installation problems are frustrating because the error messages are vague and the installers are opaque. But the fix is almost always one of these steps: clear the conflict, remove the remnants, restart the spooler, or skip the bloat and use the driver the OS already has.
